Chairman’s Report  Year ending 31st August 2007

The Committee met four times this year in November, February, May and August. We thank Sue Holder who retired as minute secretary and also Kay Henderson who has taken this job over.

 

The sale of the Masonic hall has brought us two new regular lets: the Scottish Pensioners’ Assn meetings on the first Friday of the month in the small hall and the Old Tyme Dancing group who meet alternate Tuesdays in the main hall. We welcome these groups and hope that they, like other groups, find that their membership grows now that they are meeting in the Hall.

We would like to thank Anna Davidson for running the Antique Fairs for the last two years. This job has now been taken on by Gill McPherson and we thank her for stepping in.  However the Fairs are showing signs of slowing in popularity and we need to come up with some ideas for giving them a boost in the coming year  as they have been a good source of income for the Hall.

Our other fundraiser, the Art Exhibition, went well and thanks again to Sheena McDougall and all the volunteers who help make this happen.

Our Treasurer for the last four years, Julia Parish, handed over the books to Sylvia Strachan at the end of August. We thank her for doing this job and also thank Sylvia for taking it over.  Hall charges went up by £1 an hour for community lets from 1st January to reflect the rise in fuel costs and we introduced a charge on private lets for using both the kitchen and bar to help cover the additional cleaning involved. We  filled in the appropriate forms and received a £3000 reimbursement of water rates which was very welcome.

Thanks go to Colin Stewart for running the 200 Club this year and he has succeeded in finding some new members.

Hall maintenance:  in the main hall we have had a new thermostat fitted to make the heating system easier to operate, the floor has been varnished, and a PA system installed using money collected at John Fleming’s funeral four years ago. The floor in the small hall needed repairing last autumn; GL did this work without charge. We have had the chair trolleys welded, bought a new hoover for upstairs and last but not least, had new Central Heating boiler installed which should be more efficient and reliable.

Future plans:  Solar panels have been considered but seem to be too expensive to be cost-effective. We are looking into roof repairs, an outside noticeboard, the exterior paintwork needs doing and one fire-door replacing. Plans for a plate warmer for the kitchen have been postponed but a new cooker would be a very good idea.

As usual we thank our Hallkeeper Jim and his two helpers Dorothy Clark and Irene Johnstone for taking care of the Hall. Thanks also to the committee for all their contributions.

Minutes of Annual General Meeting 25th October 2007

  1. The minutes of the AGM held on October 26th 2006 had been circulated and were accepted.  Proposed and seconded as a true record by M. Strachan and J La Roche.

 

  1. Chairman’s Report

The Chairman’s Report for the year ending August 31st 2007 was
read out.  (See attached)

 

  1. Treasurer’s Report

The accounts year ending 31/8/2007 showed that

Monthly outgoings are around £800 and lets are just covering this.  C Stewart proposed accepting the accounts for 2006/2007 and this was seconded by J Priest. John Cowan was thanked for auditing the accounts and appointed as Auditor for next year.

Thanks also to Julia Parish & Sylvia Strachan for their work on the accounts.

 

 

  1. 200 Club

Thanks to Colin for taking over 200 Club who presented report and accounts, these were accepted as accounts for 2006/2007 by J Parish and seconded by J Strachan.  Members now stand at 125 and Colin proposed a leaflet drop in village as well as ads in the Dunpender News and on website to try to recruit new members.

The meeting was followed by a short committee meeting to elect office-bearers.
